Overview

The Document Management Supervisor is responsible for supervising staff in document processing, focusing on two main areas of Provider Enrollment and Claims Suspense/Paper Claim Processing. The Supervisor will coordinate, review and process provider enrollment, revalidation and special project documentation, claim suspense materials and prior authorizations. This includes coordination of document quality review processing and timely monthly reporting to EOHHS. The position will handle training, determine workflow, and ensure work is completed accurately and within contractual obligations. The position will handle inquiries with document processing subcontractor, SourceHOV. The position will supervise 8-10 clerks/specialists.

Responsibilities

  • Supervise provider document indexing and batch review, including review of indexing quality and work towards process improvements. Must ensure timely processing within SLA and contractual obligations

  • Supervise claim resolution processing (90 Day Billing Waivers, Voids and PAs), including review of claim data entry accuracy by outside vendor

  • Supervise clerks in document review and prep, including wet signature comments, rebuilding ATNs, and processing provider correspondence

  • Perform research into state related, provider, CARTS issues and/or vendor questions or problems. Required to review, reconcile and communicate data and decisions across systems and reporting. This includes client requested file pulls

  • Responsible for staff development and conducting one-on-one and team meetings. Provide coaching and formal warnings as necessary

  • Develop and train staff on job systems and functions. Handle quarterly bonus and annual performance appraisals

  • Responsible for data collection and regular reporting, both internal and external. Includes providing data for 66a and 45a, as well as producing individual reporting for claim resolution and processing

  • Perform other duties as assigned

The Ideal Candidate will Possess the Following Additional Education and Experience

  • Bachelor's Degree from an accredited college or university required, equivalent experience considered in lieu of degree
  • At least two (2) years of provider enrollment experience or credentialing in a health care environment (i.e. healthcare facility, managed care setting, insurer, credentialing verification organization)
  • Previous Supervisory experience preferred
  • Ability to perform comfortably in a fast-paced, deadline-oriented work environment
  • Ability to work as a team member, as well as independently
  • Ability to maintain confidentiality and security of all information
  • Ability to comply with current and updated policies and procedures
  • Ability to interact courteously and effectively with a diverse population
  • Proficient in the use of Microsoft Office products
  • Must be able to remain in a stationary position for an extended period of time
  • Occasionally lifts, carries, or otherwise moves items weighing up to 25 pounds 
  • Work is constantly performed in an office environment
