    Job Description Summary

    The Site Administrative Assistant performs various clerical, administrative, and secretarial duties for the Senior Site Manager of Contact Center Operations for the Census Questionnaire Assistance (CQA) contract. The work environment will be fast-paced and will require an individual to juggle many different tasks while paying attention to details and ensuring deadlines are met. The Office Assistant will support the on-site operations management team of the Census contract for MAXIMUS. This individual will report to the Senior Site Manager for the CQA program at the site.

    Essential Job Duties
    • Provides the CQA operations management team with administrative support, including but not limited to, ordering general office or other operations supplies, preparing routine status reports, reconciling financial reports.
    • Provides on-site support for recruitment event logistics. Assists the management team with support at events, including coordinating applicant interviews, conducting follow-up phone calls with applicants, and collecting and reviewing applicant paperwork for accuracy and completeness.
    • Maintain adequate office supplies for various departments, with consideration of associated costs and best practices.
    • Prepare invoices for Accounts Payable.
    • Responds to routine inquiries.
    • Prepares and maintains files and other records for the operations management team.
    • Schedules and maintains calendar of appointments, meetings, and travel itineraries, and coordinates related arrangements.
    • Participates in special projects as required.

    Education and Experience Requirements
    • Requires a High School Diploma or GED.
    • Associates degree; preferred.
    • 2 years of related administrative experience.
    • Government contracting environment is preferred.
    • Security clearance required – position contingent on ability to obtain low risk security clearance.
    • Must be legally authorized to work in the U.S. and provide documentation.
    • Non-United States citizens must have resided in the U.S. for three (3) accumulative years of the past five (5) preceding the submittal of security clearance forms.
    • Ability to become a notary public to support collection of background investigation forms from applicants.
    • May be required to work off-shift as necessary, to include night and weekend, to support recruiting events.
    • Attention to detail is required.
    • Ability to prioritize work will be a key to success.
    • Strong written and verbal communication skills are required.
    • Effective administrative and organizational skills.
    • Proficiency in the use of general office equipment, such as typewriter, fax machine, photocopier, and personal computer.
    • Proficiency in the use of basic office-related software applications, such as Outlook, Word, Excel, and PowerPoint.
    • Strong typing skills preferred.

    In accordance with contractual requirements:
    Employment and continued employment is contingent upon obtaining and maintaining a favorable initial and final suitability determination, which will be decided in the sole discretion of the Census Bureau. Ability to pass United State Census Bureau suitability assessment.

    Sponsorship:
    MAXIMUS is unable to provide visa sponsorship in support of 2020 CQA Program.

    Residency requirement:
    Non-citizens must possess a valid and non-expired Permanent Resident Card or Employment Authorization Card. The suitability assessment requires residency in the United States for a cumulative period of three (3) years over a five-year period ending with the date of the security application prior to starting work in support of the 2020 CQA program.

     

    Essential Duties and Responsibilities:
    - Works on assignments that are moderately difficult, requiring judgement in resolving issues.
    - Perform repetitive clerical steps such as document verification, manage inbound and outbound routine calls, and greeting guests.
    - Perform entry-level clerical duties requiring general knowledge and the application of various work methods and procedures. - Provide administrative support to project and operations management, which may include identifying, anticipating, and meetings needs of all departments.
    Minimum Requirements:
    - High School Diploma with Associate degree and/or 2-4 years of experience.
    - May have additional training or education in area of specialization.
