    Job Description Summary

    Desktop Publisher/Layout Specialist:

    • Supports the development of MAXIMUS proposals and related sales materials
    • Types and formats documents using Microsoft Word and InDesign; generates and revises complex pdf files; creates, revises, and manages graphics of various formats using Illustrator and Photoshop; works with teams of editors, graphic designers, and proposals and communications professionals and writers to create and maintain documents; coordinates printing; and manages workflow of assigned projects to meet review, publication, and submission deadlines
    • Creates and edits simple proposal graphics
    • Knowledge of Illustrator and Photoshop
    • Works in the company’s corporate headquarters in Reston. Remote work is also possible

    Duties and Responsibilities
    Specific duties of the Desktop Publisher/Layout Specialist include:
    • Word processing support
     Heavy desktop publishing with detailed formatting of proposals, technical documents, reports, and related deliverables
     Technical proofing and copy editing of documents
     Working with technical materials, tables, and combining/rearranging material from different document sources
     Formatting and re-formatting Word and Excel documents and electronic documents. Examples include adjusting spacing; standardizing headings, margins, and indentations; typing text, charts, tables, forms; ensuring correct pagination; inserting figures and photographs; and electronically sorting and compiling text
     Advanced knowledge of Microsoft Office products like Microsoft Word. Able to develop and maintain document templates.
     Advanced knowledge and experience using Adobe products including InDesign and Acrobat.


    • Production support
     Assembling proposals using 3-ring binders and comb-binding machine; preparing all components such as binder spines, covers, index tabs, CDs, and CD labels
     Filing and archiving of electronic proposal files
     Other related duties as assigned

    Minimum Skills and Qualifications
    • Five to seven years of word processing, document layout, and proposal production experience required
    • Advanced knowledge of Microsoft Office products like Microsoft Word. Able to develop and maintain document templates.
    • Advanced knowledge and experience using Adobe products including InDesign and Acrobat.
    • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology
    • Knowledge of principles and processes for meeting quality standards for services, meeting customer needs, and evaluation of customer satisfaction
    • Exhibit above average communication skills, both written and verbal. Proven ability to interface with individuals at all levels of a corporate organization
    • Ability to work in a team environment with a constructive and respectful attitude
    • Ability to review text written in a document and identify errors related to the use of language, in general, or adherence to a specific style guide
    • Manage one's own time and be able to meet aggressive deadlines and manage multiple tasks
    • Ability to apply general rules to specific problems to produce answers that make sense
    • Ability to work beyond normal work hours (i.e., nights, weekends, and/or holidays when required)

     

    Essential Duties and Responsibilities:
    - Provide direction for desktop publishing functions, administrative support, security, control and distribution of proposals or other documents.
    - Determine style, techniques and medium best suited to produce desired effects and conform with production requirements.
    - Supervise final production, including word processing, graphics, desktop publishing and production for draft and final proposal production of all assigned proposals.
    - Develop and update plans, schedules, materials and files, as directed.
    - Coordinate graphics, desktop publishing, proofreading and production support for all assigned proposals, including drafts, review team copies, final submission and post-submission responses.
    - Discuss graphics and text requirements at various stages of completion and make necessary changes as determined by the Proposal Manager.
    - Proof work to minimize errors; rework errors.
    - Prepare and maintain proposal schedules and workspace.
    - Perform compliance checks.
    - Assist Proposal Managers in development and update of Proposal Management Plans.
    - Manage SharePoint proposal site content and user right access administration in coordination with the Proposal Manager.
    - Train proposal writers on the use of the proposal template and SharePoint at kickoff.
    - Download and distribute copies of RFPs and related bid documents to the proposed team.
    - Prepare archives of proposals following final submission.
    - Support Proposal Managers with proposal development activities, team communications and document control in support of the proposal development process.

    Minimum Requirements:
    - High School diploma with 4+ years of experience, or Associate degree with 2+ years experience.
    - May have additional training or education in area of specialization.
    - Works on assignments that are moderately difficult, requiring judgement in resolving issues.
    - Understands implications or work and makes recommendations for solutions.
    - Communicates on complex or sensitive issues or draft such responses for supervisor or team lead.
