MAJOR PURPOSE | | Assist in the coordination and planning of all activities in the mailroom/fulfillment while monitoring the performance and providing feedback and/or coaching of staff. | | ESSENTIAL JOB DUTIES | | •Primarily responsible for outbound mailing (based on customer requests), inventories and associated controls, and responding quickly to project issues. | •Assist in oversight of Fulfillment vendor subcontracts including quality control and inventory management. | •Lead a staff of Mail Room Clerks to ensure daily tasks and department goals are met | •Communicate with all facets of the project to further Mailroom goals | •Perform analysis, identify trends of the Clerks, and recommend corrective action to the Mailroom Supervisor | •Monitor assigned functions and provide feedback to staff and/or Mailroom Supervisor as appropriate | •Assist supervisor with distribution of work assignments | •Ensure compliance with all HIPAA regulations and supporting policies and procedures | •Complete morning set-up of daily delivered mail | •Ensure 100% quality control and accuracy of all outbound mailings, whether in-house or fulfillment vendor mailing | •Assist Manager in coordination with EOHHS and the fulfillment vendor to maintain inventory and version control of all fulfillment publications, printed materials, and documents | •Assist Manager in coordination with EOHHS to maintain inventory and version control of all mailroom publications, printed materials, and documents | •Oversee quality control of fulfillment vendor and mailroom activities including exceptions, potential count discrepancies, returned mail, and accuracy of fulfillment materials | •Assist in organization and development of processes to streamline effectiveness of mailroom logistics (storage, mail slots, deliveries, etc) | •Provide regular and ad hoc fulfillment activity reports to Manager | •Assist mailroom staff in mail processing, movement of materials | •Perform other duties as may be assigned by management | | EDUCATION REQUIREMENTS | | The ideal candidate must have | | •High School Diploma or equivalent | | REQUIRED KSAS | | •At least three (3) years of related experience required | •Proficient in Microsoft Office products | •Strong attention to detail | •Knowledge in the use of general office equipment | •Highly developed organizational, interpersonal, written, and verbal communication skills | •Ability to perform comfortably in a fast-paced, deadline-oriented work environment | •Ability to successfully execute many complex tasks simultaneously | •Ability to work as a team member, as well as independently in a diverse environment and maintain confidentiality | | PHYSICAL REQUIREMENTS | Lift and/or push/pull 50 lbs | Occasional moving of materials/equipment/furniture throughout office area | Frequent walking between company and various state offices
